Wedding RSVP guide: deadline, wording and how to track replies
When to set the deadline, what to write on the RSVP, how to handle plus-ones and kids, and a simple system to track every reply.

Set your wedding RSVP deadline three to four weeks before the wedding, and send invitations six to eight weeks before the date. That gives you time to chase late replies and send final numbers to your caterer, who usually needs them one to two weeks ahead. An online RSVP on your wedding website makes replies faster and easier to track.
When should the RSVP deadline be for a wedding?
| Milestone | Typical timing |
|---|---|
| Save-the-dates | 6 – 8 months before (8 – 12 for destination weddings) |
| Invitations | 6 – 8 weeks before |
| RSVP deadline | 3 – 4 weeks before |
| Follow up with late guests | The week after the deadline |
| Final headcount to caterer and venue | 1 – 2 weeks before (check your contract) |
Check your vendor contracts first and work backward. If your caterer needs numbers 14 days out, a deadline four weeks out leaves you two weeks of buffer for stragglers and seating charts.
Wedding RSVP wording examples
Keep it short and make the deadline impossible to miss.
- Classic: "The favor of a reply is requested by the first of May."
- Simple: "Kindly reply by May 1."
- Online: "Please RSVP on our website by May 1 — it only takes a minute."
- Casual: "Let us know if you can make it by May 1. We hope to celebrate with you!"
- Seats reserved: "We have reserved two seats in your honor. Kindly reply by May 1."
- Adults only: "We love your little ones, but our celebration will be adults only. Kindly reply by May 1."
- Playful: "Accepts with pleasure / Declines with regret / Will be there in spirit — by May 1, please."
What to ask on the RSVP
Ask only what you will actually use. The usual list:
- Name(s) of guests attending
- Attending or not
- Number of guests, if a plus-one or children are invited
- Meal choice, if you are serving plated dinners
- Dietary restrictions or allergies
- Optional: a song request or a message for the couple
What does RSVP mean?
RSVP stands for the French phrase "repondez s'il vous plait" — "please reply." It asks every invited guest to answer, yes or no, by a specific date. A common misunderstanding is that only guests who are coming need to respond. Make the deadline clear and you'll avoid most of the guesswork.
Paper RSVP cards or online RSVP?
Paper cards feel traditional but come back slowly, get lost, and need postage on the return envelope. Online RSVPs on your wedding website are faster, cost nothing to mail, and feed straight into a guest list you can sort. Many couples do both: an elegant printed invitation with a line pointing to the website for the reply.
How to handle plus-ones and kids on the RSVP
Be explicit about who is invited. Address the invitation to the exact people invited, and on an online RSVP, let each household confirm only the names you listed. A "guest list" style RSVP — where a family finds their own names and replies for the whole group — avoids the awkward "Can I bring someone?" conversation entirely.
How to track RSVPs
- Keep one master list with every invited name, grouped by household.
- Record each reply with attendance, meal choice and dietary notes.
- Count totals daily as replies come in: attending, declined, pending.
- Flag missing replies the day after the deadline.
- Lock the list when you send numbers to the caterer.
A spreadsheet works, but an online RSVP that updates the list automatically saves hours — and avoids typing names off handwritten cards.
How many guests will actually come?
Not everyone you invite will say yes. The share who decline depends on how far guests must travel, the season, and how many are family versus acquaintances. Instead of relying on a generic percentage, sort your list into "definitely," "probably" and "unlikely" while you plan, and budget for the first two groups. Your RSVPs will tell you the real number, which is exactly why a firm deadline matters.
Some couples keep a short "B list" of guests to invite if early declines come in. If you do, send those invitations at least five to six weeks before the wedding, so nobody can tell they were added later.
What to do when guests don't RSVP
Every wedding has a few. The day after the deadline, send a friendly personal message: "Hi! We're finalizing numbers for the caterer — will you be able to join us on June 6?" Divide the list with your partner or ask parents to help with family. If you still don't hear back, it's reasonable to count them as not attending and let them know.
Can guests change their RSVP?
Plans change, and it's better to know than to pay for an empty seat. Ask guests to tell you as soon as possible if their answer changes, and update your count. After you send final numbers to the caterer, most contracts won't refund a no-show — so a polite reminder a week before the wedding ("We can't wait to see you Saturday!") helps catch late cancellations early.
RSVP etiquette for guests
If you're the guest, reply as soon as you know — and always before the deadline, even if the answer is no. Only bring the people named on the invitation; if you're unsure whether you have a plus-one, it's fine to ask the couple privately, but never add names on the RSVP. If you decline, a short warm note and, if you wish, a gift are kind gestures. Not sure what to give? Here's how much to give for a wedding gift.
Special cases: destination weddings and small weddings
For a destination wedding, guests need more time to book travel, so send save-the-dates 8 to 12 months ahead and set the RSVP deadline earlier — often six to eight weeks before — because hotel room blocks have their own cut-off dates. For a small or intimate wedding, a personal call or message may replace formal cards entirely, but a clear deadline still helps you plan the menu and seating.
Link the RSVP and the registry
Guests who RSVP often look for the registry next. Putting both on one website saves everyone a step. If you're still planning yours, here's how to create a wedding registry.
